This is the basic process to run through with a client when assisting them with their DEX report.
Phase 1 - Data Review
Use the DEX Tools and proceed through each screen sequentially. In each of these screens there will be an "all staff" check box, similar to this -
You will usually tick this to ensure Ivo is searching all records. This option is only visible to Ivo Administrators, or if logged in as 1024 (eg. by using the Ctrl+T command).
DEX Client Review
Looks through every client to identify whether Key data fields are missing
The key data fields are Date of Birth, Gender, Location.
A client must also have both a Given Name and Family Name recorded.
The Country, Language, Indigenous Status fields may also be treated as "key data" if they are set to -
NDIS Appeal Type Review
Client Advocacy Issue records with an NDIS Appeals funding source have an "Appeal Type" field. This screen looks for records where the Appeal Type has not been completed.
The Appeal Type field is used by the Reporting\DEX Export function to automatically use the appropriate "Service Type" for the Client Advocacy Issue's file notes.
Service Type Review
Identifies file notes where the Service Type field does not have a value. This can happen for a few reasons, but mostly if a recorded is converted from one type to another, or from one Funding Source to another. For example, if a record is changed from a non-DEX funding source (NACAP, VicDHS, Qld Health etc) to a DEX funding source (NDAP, DRC, NDIS Appeals etc), then the file notes from the record won't have a Service Type value because it would not have been required when the file note was created.
For this review screen you can use the "Set all as default Service Type" button. This will set a default service type for each type fo record. Some default service types are determined by the settings in the Administration tab -
A couple are determined automatically -
- Inquiries are always set to "Information/Advice/Referral"
- NDIS Appeals funded advocacy issue records are set automatically according to their Appeal Type field value.
NDAP Topic Review
The NDAP Topic is collected at the Activity level, but reported at the file note level.
Phase 2 - Run Report
Click on the Reporting\DEX Export button.
Set the appropriate settings -
